Please note that this post was published on 11/05/18, before the GDPR Go Live date of May 25th 2018.
We’ve been preparing you for the new General Data Protection Regulations (GDPR) for over a year now. Believe it or not, we’re still having new clubs get on board who, when faced with the statement “We’re sure you’ve heard of GDPR by now…” they reply, “Sorry… what?”. We know!
We’re also dealing with a lot of clubs that have put GDPR to the bottom of their list until right now. With two weeks to go, it’s officially deadline month! Come 25th May 2018, you’re expected to have your GDPR processes in place in order to protect your athlete’s data in the most legal and appropriate way; and we’ve spoken to a lot of clubs who are in panic mode.
If the above rings true with you, you needn’t panic! We have reason to believe that when May 25th arrives, as the legislation is still ‘fluid’ and therefore changing, there will be some form of leniency with compliance. But this will most likely only be the case if you can prove that you understand GDPR and are actively working towards being compliant.
We believe you can take this action by doing the following:
• If you haven’t already, download our GDPR Guide and Checklist for sports clubs.
Take ten minutes to sit down with a cuppa and read and digest what’s required of you from the ICO. Map out your processes, plan what you need to do. By having this document downloaded, you’re proving your willingness to try and understand the processes of GDPR.
• Be in a free trial with Coacha (60 days instead of 30 if you sign up within May)
In case you don’t already know, we strongly believe that Coacha2.0 (launching shortly) will help your club work towards up to 75% of your ongoing compliance. There are features built into the new software update specifically to help with GDPR compliance.
Just by being in a free trial, you’re proving that you’re in the initial stages of helping your club work towards compliance. We have the date of your signup logged within our system, so if you ever need to prove to anyone that you’ve been working towards compliance since before the Go Live date, you can.
• Download our free Privacy Impact Assessment
ICO guidance recommends that you complete a PIA in order to identify any weak spots in the way you handle your information. You’d usually need to purchase a PIA from a legal firm, however, if you sign up to our mailing list, you’ll receive a PIA free of charge.
• Utilise GDPR tools and documents to help you work towards a further (approx.) 20% GDPR compliance.
We’ve recently joined forces with Markel Law, a large legal firm, in order to bring our subscribers a unique opportunity to access all of the tools and documents they’ll need to help with their GDPR compliance.
As explained in previous blog posts, no piece of software alone can make your club 100% GDPR compliant. This is because there are manual processes that the club owner needs to complete in addition to the elements of GDPR that Coacha helps with. We can’t do this for you, but we can provide you with all of the information you’ll need in order to carry out the processes.
With most legal firms charging over £500 +VAT for access to such documentation, Markel Law provide a full pack of GDPR templates and tools through their portal for £189 +VAT.
We’ve managed to secure Coacha subscribers a 50% discount, meaning they’ll receive all of the following features for £95+VAT:
• Access to the Markel Law Hub with all of the GDPR tools and documents they need to work towards GDPR compliance.
• Discounted access to a solicitor via pay-as-you-go telephone service (£45 +VAT per 30 minutes).
• Additional, non-GDPR related tools and documents covering areas like employment, managing a business, property, cyber security and more.
• Expert resources from award-winning lawyers.
• Useful links and checklists.
• Regularly updated legal blogs to keep you and your club up to date with all the key legal headlines.
• Live chat available Monday to Friday, 09:00-17:00.
We think that this is a small price to pay to ensure your club is at its most compliant.
To conclude, if you download the above (free) documents and are in a Coacha free trial before the GDPR Go Live date, this proves to yourself, the ICO and the world that you’re taking GDPR seriously. Show that you’re actively working towards the ultimate level of compliance for your club and its athletes. Even if you’re not 100% ready by the time May 25th comes, you stand in good stead if you can prove that you’re trying.
