3 ways to lose your members’ trust

With great sports club ownership, comes great responsibility. You’re responsible for your members, their sporting education, their data and their wellbeing whilst they’re attending your classes.

For many athletes, choosing the right club/school is a big decision. It involves a lot of research into the programme, the coaches and how they see themselves progressing. When members come to join your club, chances are, they’ve already gone through that research process. They’re ready to put their trust in your club going forward.

Trust is something that can take a while to build but can be broken, or at least questioned, pretty much instantly. Here are 3 ways that you can very easily lose trust between you & your members.

1. Don’t have their information easily to hand

Many of us here at Coacha are sports coaches. We know that as a coach, the day you dread is when an athlete falls ill or is injured during training; especially if things are serious.

When this happens, it’s super important to have their emergency information very easily accessible. This is to make sure you have all relevant information such as medical, allergies, emergency contact etc.). But also, you’ll probably need to contact their Next of Kin too.


Just imagine, one of your younger members falls over and badly hurts their head during training. Your laptop is in use by another coach at a different venue and you have no information to provide the emergency services with. Plus, you don’t manage to inform their parents until after they arrive at hospital. How would you feel? How would the parents feel? And how would the member feel?

A situation like this is much more likely to happen if you’re using spreadsheets/doing your admin on paper. If your laptop breaks, runs out of battery or is needed elsewhere, what would you do? If you/your coaches have to rush around trying to locate your paper folders when you should be comforting your injured athlete, how professional does that look?

We would thoroughly recommend using a system where coaches can log in and easily have access to member’s data, from their own devices, within literal seconds.



2. Don’t secure their data

When joining a new club, the basic expectation is that you will keep member’s data safe, secure and treat it with respect. If you’re still keeping data in paper folders, or in spreadsheets on your laptop, you may want to reconsider just how secure this is.

If your laptop/folder with members’ personal information in gets stolen, what would you do? This would technically be classed as a data breach and would need to be declared to the ICO. Also, each person involved would need to be informed. There are dangers involved with data breaches such as financial fraud, identity fraud, safeguarding issues etc. A data breach may make members question your ability to hold their data safely.



3. Run your club as unsmooth as possible

When members sign up to a new club, they want to submit their information, find out about club procedures, how to pay, when the classes are and get going. Members and parents are busy people too, so if they’re having to do their own research on how to join your club/sign up for payments, they may start getting frustrated.

Likewise, if your payment system is confusing, you don’t have a simple registration process or the whole admin side of things doesn’t run too smoothly, they may start to get dissatisfied with the service you’re providing.
